How to Set Up and Use the AutoScribe Toolbar in PS Suite (PSS)

Part 1: Toolbar Setup

Step 1 – Download the Toolbar File

Choose one of the two toolbar options based on your preferred workflow and save the file to your desktop:

AutoScribe Classic

Requires copy & paste into EMR

AutoScribe Express

Automatically submits to EMR (no copy/paste)


Step 2 – Import the Toolbar

  1. Open PS Suite

  2. Go to Settings → Edit Custom Forms

  3. In the pop-up window, select File → Import Form

  4. Locate the toolbar file you downloaded and import it

  5. Click OK when the confirmation message appears

  6. Click Done to close the Custom Forms window


Step 3 – Add the Toolbar to Chart View

  1. Go to Settings → Edit Reminders

  2. Click New Reminder

  3. Name it: AutoScribe Reminder


Step 4 – Assign the Toolbar Visibility

  1. Click Add Line

  2. Under Doctor Number, select the = symbol

  3. Choose either:

    • Your individual name

    • A group or clinic-wide role

  4. Click OK

To add it to multiple providers:
Use “Other” → “Current User’s Role” to assign by roles created in user setup.


Step 5 – Finalize Setup

  1. Change “Show Intervention as Reminder” to
    “Show Custom Form or Stamp”

  2. From the dropdown, select AutoScribe Toolbar

  3. Set Priority to: Low (next visit)

  4. Click Done to save

Your toolbar is now successfully installed!


Before Using AutoScribe Each Day

  • Open a separate browser window

  • Log in to AutoScribe using your authentication token

  • Once logged in, close the window
    You are now ready to launch encounters directly from the toolbar in patient charts.


How to Use Each Toolbar Version


AutoScribe Classic Toolbar

(Requires copy & paste into EMR)

  1. Toolbar appears in all patient charts.

  2. Click the Launch Encounter link in the toolbar.

  3. If first login of the day, copy the authentication code shown in AutoScribe.

  4. Paste the code into the toolbar in PSS.

  5. Confirm verbal consent → the encounter begins.

  6. End the encounter inside AutoScribe.

  7. Go back to PSS and click End Encounter to push the note into the chart.

  8. The note will populate automatically.

Optional:
You may still use the older “Submit and Copy” workflow by checking “Submit on AutoScribe?” in the toolbar.


AutoScribe Express Toolbar

(Automatically submits to EMR – no copy & paste required)

  1. Toolbar appears in all patient charts.

  2. Click the Launch Encounter link in the toolbar.

  3. If first login of the day, copy the code and paste into PS Suite.

  4. Confirm verbal consent → encounter begins.

  5. End the encounter inside AutoScribe.

  6. Click End Encounter in PSS.

  7. The note automatically populates in the chart without any extra steps.

Optional:
You can still choose to use “Submit and Copy” manually if preferred.
