How to Start an Encounter

Starting an encounter in AutoScribe takes only a few steps. Follow this walkthrough to begin recording, capture your visit, and generate your clinical note automatically. Note: The old UI help article appears below the new UI version.

Step 1 — Open a New Encounter

You can start a visit in two ways:

  • From the left menu, select Start New Encounter, or

  • From the home page, click Start a New Encounter.

Click on either button to begin a visit.

Step 2 — Select a Note Template (Optional)

Choose your preferred template before you start recording.

  1. Click the dropdown arrow beside Note Template.

  2. Select from the list of available templates or search by keyword.

Press the dropdown arrow to view templates. Select one that best fits your visit type (e.g., SOAP, Geriatrics, Follow-up).

Step 3 — Start Recording

Once your template is selected, click the blue microphone icon at the bottom right of the screen to begin the encounter.


AutoScribe will immediately start capturing speech and generating a transcript.

Step 4 — Confirm Consent (if applicable)

If your account is set to Explicit Consent, a popup will appear each time you start recording.

  • Click I Have Consent once verbal consent is confirmed with the patient.

  • Recording will begin automatically after confirmation.

Consent confirmation appears if Explicit Consent is enabled in Settings.

Step 5 — Conduct the Encounter

As you speak, AutoScribe transcribes and structures the conversation in real time.

  • Use the Scratchpad to type notes or context you prefer not to say aloud.

  • The Live Transcription line shows that the conversation is being captured.

  • The audio bars confirm your microphone is active and recording.

Step 6 — Pause, Delete, or Stop Recording

You can manage the encounter while it’s in progress:

  • Pause: Temporarily stop recording (e.g., for a brief break).

  • Delete: Discard the current encounter.

  • Stop Transcription: When finished, click the red stop button to end the encounter.

Use Pause, Delete, or Stop Transcription as needed.

Step 7 — Review and Finalize the Note

Once you stop recording, AutoScribe generates your draft note automatically.
Here’s what you can do next:

  • Toggle between the Note and Handout tabs.

  • View Transcript of the conversation for accuracy.

  • Manually Edit sections if needed.

  • Use the lower text box to provide Automatic Edit instructions (e.g., “Summarize assessment in bullet points”).

  • When satisfied, click Copy & Mark Reviewed to finalize the note.

Review, edit, and finalize your generated note.

Quick Tips

  • Speak naturally — AutoScribe captures both clinician and patient dialogue.

  • Say key findings aloud (medications, physical exam, plan).

  • Type private or sensitive content in the Scratchpad.

  • Only finalized notes (Copy & Mark Reviewed) are saved permanently; drafts remain editable for a limited time.

Result

Your finalized note moves to Encounter History → Reviewed, where it becomes read-only and ready to paste into your EMR.


How to Start and End an Encounter (Old UI)

This section walks through how encounters work in the legacy AutoScribe interface. The overall workflow is similar to the New UI, but the entry points and controls differ slightly depending on how you launch AutoScribe.

Step 1 — Start an Encounter from the AutoScribe Web App

Log in to the AutoScribe web application.

From the main page, click Start Listening.

Select the appropriate patient appointment, then click Start Listening again.

A consent prompt will appear asking you to confirm that verbal consent has been obtained from the patient. This confirmation is legally required.

Once consent is confirmed, the encounter begins and transcription starts automatically.

Step 2 — Start an Encounter from the PS Suite Toolbar

Open the patient chart in PS Suite.

Click Launch New Encounter from the AutoScribe toolbar.

A new browser window will open in AutoScribe.

You will be prompted to import the patient’s information from the EMR. Click Import to link the patient data to the encounter.

You will then be asked to confirm verbal consent. Once confirmed, the encounter begins and transcription starts automatically.

Step 3 — Conduct the Encounter

While the encounter is active, AutoScribe records and transcribes the conversation in real time.

You can speak naturally throughout the visit. The transcript will continue updating automatically.

If needed, you may temporarily pause the encounter without ending it.

Step 4 — End or Pause the Encounter

When the visit is complete, click End Encounter at the top right of the page.

If you intend to resume the same visit later, you may click Pause Encounter instead.

Ending the encounter stops recording and triggers AI note generation automatically.

You may leave the page while the note is being generated. Processing continues in the background.

Step 5 — Review the Generated Note

After processing is complete, AutoScribe generates the clinical note using the selected template.

You can return to review the note once generation is finished.

From here, the note can be reviewed, edited if applicable, and copied into the EMR according to your clinic workflow.

Quick Tips

  • If you pause an encounter, you can resume the same session without starting over.

  • Ending an encounter immediately stops recording but does not require you to stay on the page while the note is generated.

  • Always confirm verbal consent before recording, as required by law.

  • Encounter processing continues even if you navigate away from the page.

Result

Your encounter is recorded, transcribed, and converted into a structured clinical note, ready to be reviewed and used in your EMR, following the legacy AutoScribe workflow.
