How to Navigate Clinic Manager

Clinic Manager is where clinic administrators can manage patients, appointments, and users in AutoScribe. From this page, you can add new patients, schedule appointments, edit existing patient records, create clinic users, and start scheduled encounters.

Step 1: Open Clinic Manager

From the AutoScribe home screen, click Clinic Manager in the left navigation menu.

This opens the Clinic Manager dashboard.

Step 2: Review the Clinic Manager dashboard

The Clinic Manager dashboard shows two main sections.

Appointment Schedule

This section lists scheduled appointments.

Each appointment row shows:

  • Clinician

  • Patient name

  • Patient birth date

  • Appointment time

  • Encounter start option

  • Edit and Delete actions

Use this section to start, edit, or delete an appointment.

Patient Information

This section lists patients who have been added to the clinic.

Each patient row shows:

  • First name

  • Last name

  • Birth date

  • Health card number

  • Edit action

Use this section to review existing patients or update patient information.

Step 3: Open the Actions menu

Near the top of Clinic Manager, click Actions.

A dropdown menu will appear with three options:

  • Create Patient

  • Create Appointment

  • Create User

Choose the action you need.

Step 4: Create a new patient

To add a new patient, click Actions, then select Create Patient.

AutoScribe will open the Patient Information form.

Complete the required patient fields:

  • First Name

  • Last Name

  • Health Card Number

You can also add:

  • Birth Date

  • Email

  • Gender

If the patient has provided consent, select Gave Consent.

If your clinic stores consent forms in AutoScribe, upload the consent form in the Consent Form field.

When the patient information is complete, click Add Patient.

The patient will be saved and will appear in the Patient Information section of Clinic Manager.

Step 5: Confirm patient consent

Before using AutoScribe during a patient encounter, confirm that the patient has provided consent according to your clinic’s workflow.

In Clinic Manager, consent can be recorded when creating or editing a patient.

To record consent:

  • Open the patient record

  • Select Gave Consent

  • Upload a consent form if your clinic uses consent form uploads

  • Save the patient record

This helps ensure the patient record clearly reflects consent status before the encounter begins.

Step 6: Create a new appointment

After the patient has been added, click Actions, then select Create Appointment.

AutoScribe will open the Appointment Information form.

Complete the appointment fields:

  • Select Clinician

  • Select Patient

  • Select Appointment Date

The clinician and patient fields are required.

Choose the correct clinician, select the patient from the dropdown, then enter the appointment date and time.

Click Create Appointment.

The appointment will appear in the Appointment Schedule section.

Step 7: Start an encounter from the appointment schedule

Once the appointment appears in the Appointment Schedule, click Start in the Encounter column.

This opens the encounter workflow for that scheduled patient appointment.

Use this option when the patient has already been added and the appointment has already been scheduled.

Step 8: Edit or delete an appointment

In the Appointment Schedule section, use the buttons in the Actions column.

Click Edit to update appointment details.

Click Delete to remove the appointment.

Only delete an appointment when you are sure it should be removed.

Step 9: Edit an existing patient

In the Patient Information section, click Edit beside the patient you want to update.

Use this when you need to correct patient details, update consent status, add missing information, or change patient demographics.

Step 10: Create a new clinic user

Clinic Manager can also be used to create new users for your clinic.

Click Actions, then select Create User.

AutoScribe will open the User Information form.

Enter the required user details:

  • First Name

  • Last Name

  • Email

  • Timezone

Select the correct role:

  • Clinician

  • Receptionist

If you are creating a receptionist account, select Receptionist.

If you are creating a clinician account, select Clinician.

Clinician accounts require additional fields.

Complete the clinician details:

  • Profession

  • Specialty

  • Professional Identification Number

  • Encounter Timestamp preference

  • Subscription tier

Select the correct tier from the Select Tier dropdown.

The available seat count appears inside the dropdown option.

When the form is complete, click Create User.

AutoScribe will generate the username and password and send them to the user automatically. The user will be required to change their password the first time they log in.

Quick tips

  • Add the patient before creating the appointment.

  • Confirm consent before starting an encounter.

  • Use Create Patient for patient records.

  • Use Create Appointment to schedule a visit.

  • Use Create User to add clinicians or receptionists.

  • Use Edit when a record needs to be corrected.

  • Use Delete carefully, since deleted records may not be recoverable.

Result

You can now use Clinic Manager to create patients, confirm consent, schedule appointments, add clinic users, and start encounters from one central place.


How to Navigate the Manage Clinic Tab (Old UI)

The Manage Clinic tab in the legacy AutoScribe interface allows you to add patients and create appointments. These records are required before starting an encounter using Start Listening.

Step 1 — Open Manage Clinic

From the main AutoScribe page, click Manage Clinic at the top of the screen.

This opens the area where patients and appointments are created and managed.

Step 2 — Add a New Patient

To create a patient record, select Create Patient.

You will be asked to enter the required patient details:

  • Full Name

  • Date of Birth

  • Health Card Number

If the patient does not have a health card, such as military personnel or non residents, a dummy number may be entered instead.

Optional fields include:

  • Email

  • Consent checkbox for receiving AutoScribe emails

  • Consent form upload for storing a signed consent document

Once all required information is entered, click Submit to save the patient.

Step 3 — Create a New Appointment

Before creating an appointment, confirm the patient has already been added.

Select Create Appointment.

Choose:

  • A clinician registered at your clinic

  • A patient from the system

After both are selected, choose the appointment date and time.

Click Submit to save the appointment.

Step 4 — Start an Encounter

Once a patient and appointment are created, return to the main page.

Click Start Listening.

Select the patient’s appointment from the list and begin the encounter.

Quick Tips

  • Patients must be added before appointments can be scheduled.

  • Appointments must exist before they appear under Start Listening.

  • Remember to click Submit when creating patients or appointments to avoid losing entered data.

  • Consent forms uploaded here can be stored in AutoScribe or your EMR.

Result

Patients and appointments created in the Manage Clinic tab become available for selection when starting encounters, allowing you to begin recording and generating notes using the legacy AutoScribe workflow.
