How to Create and Manage Note Templates in AutoScribe

Learn how to create, edit, duplicate, test, and manage note templates in AutoScribe, including AI-generated templates, manual templates, and the difference between system and personal templates.

Before You Begin

This article is for all users who want to create, customize, or manage note templates in AutoScribe.

You can:

  • create a new template with AI

  • create a new template without AI

  • duplicate an existing template

On the Manage Note Templates page, templates are labeled as either SYSTEM or PERSONAL.

  • SYSTEM templates are platform-provided templates shown in the list

  • PERSONAL templates are user-created templates

  • SYSTEM templates can be duplicated

  • PERSONAL templates can be duplicated, edited, and deleted

Step 1: Open Manage Note Templates

Open the template management page so you can view, create, and manage templates.

From the left menu:
Clinic Manager → Manage Note Template

You will land on the Manage Note Templates page.

What you should see:

  • a Search bar

  • a legend for Default template and Favourite template

  • a list of templates

  • SYSTEM labels beside platform templates

  • a Create button in the top right

  • pagination controls at the bottom of the page

Step 2: Understand the template list

Before creating anything, it helps to understand what actions are available from the list page.

On this page:

  • SYSTEM templates show a Duplicate button

  • PERSONAL templates show Duplicate, Edit, and Delete

  • the star icons beside a template name match the legend at the top of the page for Default template and Favourite template

  • the Search bar helps you find a template by name

  • the pagination buttons let you move between pages if your template list spans more than one page

This page is also where saved personal templates reappear after they are created.

Step 3: Create a new template with AI

Use this path if you want AutoScribe to generate the template content from section headings.

On the Manage Note Templates page:

  1. Click Create

  2. Enter a value in Name

  3. Choose a value in Language of note

  4. Leave Create without AI unchecked

  5. In Section Headings, enter the headings you want in the template, one per line

  6. Click Next

Section headings are the note sections you want AutoScribe to build out. The example shown in the form is:

  • Subjective

  • Objective

  • Assessment

  • Plan

What you should see:

  • a two-step layout with 1 Template Info and 2 AI Generation

  • fields for Name, Language of note, and Section Headings

  • a Next button at the bottom

Step 4: Wait for AI generation to finish

After you click Next, AutoScribe generates the template based on the section headings you entered.

What you should see:

  • a loading screen that says Generating your template...

  • a message that says AI is building structured content based on your headings. This may take some time.

Step 5: Review and edit the generated template

Once generation is complete, AutoScribe opens the editable template page.

This is where you review the content before saving it.

What you can see on this page:

  • a prompt field at the top with Describe the changes you want to make...

  • a Template Details panel

  • Name

  • Language of note

  • Content

  • Add note template to favourites

  • Make this note template default

  • Save

  • Duplicate

  • Delete

  • a Test with Encounter panel on the right

  • Select a recent encounter

  • Test with Encounter

What to do:

  1. Review the generated content in Content

  2. Update Name or Language of note if needed

  3. Edit the template text directly in Content if needed

  4. Select Add note template to favourites if you want to mark it as a favourite

  5. Select Make this note template default if you want to make it your default

  6. If you want to try it with an existing encounter, use the Test with Encounter panel

  7. Click Save

The prompt field is visible at the top of the page and can be used to describe changes you want to make.

Step 6: Test the template with an encounter

Use this if you want to try the template against a recent encounter before finalizing it.

In the Test with Encounter panel:

  1. Open Select a recent encounter

  2. Choose a recent encounter

  3. Click Test with Encounter

Step 7: Create a new template without AI

Use this path if you want to write the full template yourself instead of generating it from headings.

From Manage Note Templates:

  1. Click Create

  2. Enter a value in Name

  3. Choose a value in Language of note

  4. Select Create without AI

  5. Enter the full template in the Content field

  6. Click Create

What you should see:

  • the form switches from Section Headings to Content

  • helper text under Content says: Enter the full content for your note template, including headings and details.

  • a Create button appears at the bottom

After you click Create, the template still opens on the same editable template page used for AI-created templates.

Step 8: Save and confirm the template appears in the list

After saving a new template, return to Manage Note Templates to confirm it was created.

What you should see:

  • the new template appears in the list

  • it is labeled PERSONAL

  • it has Duplicate, Edit, and Delete actions

This is the main confirmation that the template was saved successfully.

Step 9: Duplicate a system template

Use duplication if you want to start from an existing system template instead of building one from scratch.

From Manage Note Templates:

  1. Find the system template you want to use

  2. Click Duplicate

  3. Review the copied Name

  4. Review Language of note

  5. Review and edit the copied Content

  6. Optionally select Add note template to favourites

  7. Optionally select Make this note template default

  8. Click Create

What you should see:

  • a pre-filled template form opens

  • the content from the system template is already present

  • the page includes Name, Language of note, Content, and the two checkbox options

  • the button at the bottom is Create

Once saved, the duplicate becomes a PERSONAL template and can be edited or deleted.

Step 10: Manage personal templates later

Once a template is saved as PERSONAL, you can return to it later from the list page.

Personal templates support:

  • Duplicate

  • Edit

  • Delete

This gives you a reusable workflow. You can start from a system template, save it as personal, and then keep refining it over time.

Potential road blocks

  • Name must be completed before creating or continuing

  • Language of note must be selected

  • if you are creating with AI, Section Headings must be completed before clicking Next

  • if you are creating without AI, Content must be completed before clicking Create

  • AI generation may take some time

  • a template must be saved or created before it appears in Manage Note Templates

  • Edit and Delete are available only on PERSONAL templates

  • Test with Encounter requires selecting a recent encounter before testing

Quick tips

  • Use clear section headings when creating a template with AI

  • Use Create without AI if you want full control over the template content from the start

  • Review the template content before saving

  • Duplicate a SYSTEM template if you want to start from an existing structure

  • Use the favourite or default options if they fit how you work

Result

Your template is now saved in Manage Note Templates.

If it is a PERSONAL template, you can return to it later to duplicate, edit, or delete it.
